This digital document outlines what Sloan Travel (“ST”) agrees to provide when you sign up for a tour, and what you agree to do in return. This is very important information, so please read it carefully before you complete your reservation request.
After you have read it in full, you can digitally sign the document by filling out the form at the end, this must be done before you are permitted to go on a Sloan Travel tour.
Included In Your Tour Package
On every Sloan Travel tour the following things are included in your tour package:
– Sightseeing tours by an ST -guide, and local guides when appropriate
– Sightseeing and entrance fees to sights seen as a group
– All included excursions
– Two meals every day (as determined by ST)
– Accommodations each night, often in family-run hotels and memorable accommodations
– All transportation from the landing to take off. Includes van, train, ferry. (Does not include optional independent travel during the tour, i.e taxi, horse and carriage, bike hire, etc.)
– All fuel surcharges
– International VAT taxes.
Airfare, personal items, tour additions and guide tips are not included.
To reserve a spot on a ‘ST ‘ tour you must provide us with a deposit of $299 per guest. (Please Note: Each traveler must fill out their own set of forms.) We can MasterCard, Visa and American Express for you convenience, but there is a 3.95% fee to accommodate this form of payment. We also accept personal checks (written on a US bank account), bank drafts, and money orders made payable to Sloan Travel in US dollars. All rates are per person in U.S. dollars, based on room occupancy of two or more persons.
Your final tour payment is due in our office at least 40 days prior to the start of the tour. Please mark your final payment due date on your calendar. The due date will be listed on your initial confirmation email. Missing the final payment deadline may result in your being removed from the tour. If you sign up for a tour less than 60 days before its departure, the entire tour price must be paid in full, and the deposit portion is non-refundable.
If a payment to ‘ST’ is returned unpaid for any reason, we will assess a $35 returned item fee per occurrence. The fee(s) will be added to the applicable tour balance, and must be paid in full prior to your tour departure.
Solo Travelers & Single Supplement
If you are traveling solo, we offer a limited number of optional single supplements for an additional fee. If you do not require your own room, you will most likely room with another tour member of the same gender, so long as space is available. Refer to your tour’s web page at sloantravel.co for current single supplement pricing. (If a private room is not available when we receive your tour order, we will notify you immediately, and you will have the option to cancel your reservation.)
Please note that a single supplement guarantees a private room — not a larger or nicer room. Single supplements are refundable if cancelled at least 90 days prior to tour departure.
Cancellations and Refunds, Changes.
Deposits for tours are refundable for 10 days from the date they are received. Exceptions are: (1) deposits made less than 60 days before a tour departs are non-refundable; (2) deposits are refundable up to 10 days after they are made for any reason; (3) after the 10-day grace period, deposits are not refundable or transferable for any reason and will be forfeited if you cancel your tour reservation. Cancellations must be in writing: sent via email to firstname.lastname@example.org; or mailed to Sloan Travel, 285 Road 3 South SW, Cartersville, GA 30120. Cancellations become effective on the date received by Sloan Travel.
Cancellations less than 90 days out will be entitled to 50% refund less your deposit. Voluntary cancellations by ‘ST’ due to political instability, acts of terrorism, government intervention or US State Department warning will be subject to the above policy, provided the program is deemed unable to continue. Should ‘ST’ elect to cancel a departure for any reason, every effort will be made to obtain a total refund from suppliers, however we cannot provide guarantees on their behalf. Once this occurs, ‘ST’ and its representatives have no other obligations to tour members on cancelled trips including any additional costs or fees related to the issuance and/or cancellation of airline tickets or other travel reservations not made by ‘ST’.
Itineraries are subject to change: Travel is full of surprises and we need to be flexible enough to take full advantage of whatever challenges or opportunities come along so that we may provide you with the best possible tour. While every effort is made to adhere to all the specifics outlined, changes, although rare, may be required at times. Therefore, pricing, itineraries, accommodations, and other information are those in the effect at the time of printing and are subject to change without notice.
You’ll want to pack light: Each tour member is allowed to bring just one checked piece of luggage, with a maximum of 40lbs. (between 21″ and 25″ suitcase.) plus a small backpack or shoulder bag. You will always carry your own bags from the bus to your room, which may include carrying it up stairs or walking small distances to the hotel. Insurance, Obligations, and Risks.
You may consider purchasing optional comprehensive travel and health insurance for your trip. If you are interested, a great resource for trip insurance can be found at www.insuremytrip.com or www.travelguard.com. Prices vary and basic coverage without trip cancellation can be very inexpensive. There are two ways that you can quote your trip.
To travel on a tour, all tour members are required to sign and return a Release and Waiver Agreement at the beginning of each tour. Participants requiring ANY form of assistance are REQUIRED to notify Sloan Travel in writing at the time of making their reservation, and must be cleared “fit for travel” according to the trip outline, before their spot can be reserved. Failure to do this will result in loss of deposit and place on tour. You must also be accompanied by an individual who is responsible for providing any additional services you may require. Tour members intentionally assume the risks inherent in worldwide travel.
Participation: Although we want everyone to have a good time, it sometimes happens that someone participating in a tour can misbehave or do things that are incompatible with the safety, comfort or convenience of other members of the tour. In those circumstances we have the exclusive right and discretion, to expel someone (even you) from a tour at any time, without any claims or complaints by you against us.
Sloan Travel tours are physically active: This is an essential and purposeful part of the tour experience. Working to get in shape before you leave, is a wise decision. This doesn’t mean you need to be able to run a marathon, but it does mean that you will do much more than sit on a bus or in a van and watch the scenery pass you by. On any Sloan Travel tour you should be capable of fully and happily participating — without any assistance — in the following levels of activity:
- Be comfortable on your feet for up to three hours walking and standing, both inside museums and outdoors in all weather conditions such as sun and rain.
- Sleep with no (or inadequate) air conditioning as it is never guaranteed. After orientation, be able to have basic navigation skills of towns and cities on your own, although help can be found around every corner.
In filling out your application, you are acknowledging that you have read and agree to the Sloan Travel liability waiver.

I understand that participation in tour activities could involve risk of physical injury, illness, property loss, and death, and despite safety precautions, Sloan Travel cannot guarantee safety thereof, as all risks cannot be prevented.
Sloan Travel does not provide health and accident insurance for trip participants, and I understand that any medical expenses, property loss, or other personal expenditures that result during or from this travel/tour, are to be borne by the participant. I also hereby consent and give authorization to the tour guide (Coty Sloan) to contact my emergency contact, and secure any emergency medical treatment in event I am unable to, and I agree to be responsible for the costs thereof.
In consideration of the opportunity afforded, with full knowledge and acceptance of the risks associated with this travel and the tour activities, and with full understanding of the above issues/conditions, I hereby release, indemnify and hold harmless Sloan Travel and my guide (Coty Sloan) from all form and manner of risks inherent in such travel, and from all claims and demands of any nature arising from participation in this tour, event, and/or function.
No smoking is allowed on the in the van or coach, in hotel rooms, or during group meals. Smokers may smoke only outdoors, downwind and away from the group.
Children under age 18 must room with and be accompanied on the tour by a parent or guardian, who is responsible for participating in all tour activities in which the child partakes. Children under the age of 8, must be previously approved before your booking is made final.
The information provided during the tour is for your own personal enjoyment. Recording guide lectures for professional purposes and soliciting business from tour members while on tour or afterward is strictly prohibited.
